Operations Coordinator

Position Summary: The Operations Coordinator is the primary administrator for our organization. The job requires the ability to move quickly and capably between a very wide range of responsibilities including: reception, administrative, data management and entry, vendor coordination, public relations, web research, office management, calendar management, and some bookkeeping. S/he must be adept at anticipating needs, be comfortable taking initiative, be an effective problem solver and communicator. The position is the “go-to” person for the Chief Operating Officer and serves as executive assistant to the Chief Executive Officer. The position requires occasional evening and weekend work.

Position Status: Full-time

Work Location: Florence, MA

Essential Functions
  • Provide front desk reception. Serve as primary point of contact between Represent.Us and the public for general administrative inquiries by telephone or email.
  • Manage incoming and outgoing communications (telephone, email, fax, mail, and express delivery services). Ensure that mail delivered to the office is picked up and routed to appropriate staff each day. Manage inter-office transfer of mail to ensure timely coordination of correspondence.
  • Provide executive assistance to the Chief Executive Officer, including scheduling, travel arrangements, filing, and other needs as requested.
  • Assist with the planning & scheduling of appointments & other meetings. Manage preparation for some appointments, including preparations of materials packets.
  • Create and maintain filing systems. Edit and proofread documents, help with, photocopying and bulk mailing.
  • Maintain cash receipts log and provide reports to Chief Operating Officer. Ensure proper documentation for all accounts payable, credit card and purchase orders. Ensure timely submission and accuracy of employee time sheets. Manage travel expense and reimbursements for staff; collect documentation for staff credit cards and reconcile with monthly statements.
  • Ensure that the office environment supports the productivity of all staff. Monitor inventory of office supplies and reorder as needed. Make sure common areas are tidy. Provide general administrative support to staff. Keep plants hydrated. Keep people caffeinated.
  • There is no task “beneath” the Operations Coordinator because the Operations Coordinator does everything!
Minimum Qualifications
  • Minimum of five years of experience in a position of similar complexity and responsibility, preferably in a non-profit public interest oriented setting.
  • A college degree is preferred. Work experience can substitute for some education.
  • Must be friendly, outgoing, eager to resourcefully solve problems, and able to follow-through on assignments with a minimum of direct supervision.
  • Demonstrated ability to troubleshoot computer hardware issues and effectively communicate to solve computer related problems.
  • Must by comfortable and confident in a supportive role while also taking initiative and demonstrating responsibility to ensure the office environment is the best it can be.
  • Ability to clearly communicate with others, in forms (written, verbal, group meetings).
Skills and Attributes
  • Demonstrated ability to be entrusted with sensitive information and conduct daily activities with utmost professionalism and integrity.
  • Demonstrated ability to manage details, solve problems, and follow-through on assignments with a minimum of direct supervision.
  • Ability to work effectively with people at all levels of the organization including: staff, consultants, colleagues, volunteers, members/constituents, and the general public. Must be confident, outgoing, courteous, and professional in all written and verbal communications.
  • Must have strong personal work ethic and ability to organize time, manage diverse activities, and meet critical deadlines.
  • Consistently demonstrate common sense, flexibility and teamwork. Must be able to adapt or modify plans, time-lines or processes in response to changing circumstances.
  • Demonstrated experience with software including: MS Office Outlook, Word, Excel, and Powerpoint.
  • Must keep self and work files organized.
  • Strong attention to detail; demonstrated experience with copy editing a plus.
  • A great sense of humor and can-do attitude are a must!

Web Developer

We are looking for a passionate web developer to join our anti-corruption campaign and help fight the undue influence of money in politics. Money in politics corruption blocks progress on nearly every issue — from taxation and healthcare to energy and the environment — and our online properties are the lynchpin of the movement we’re building to fight it.

Position Summary: The web developer is responsible for developing new functionality for our website and other online properties, minor administration of our server environment, performing routine maintenance and backup, responding to technical emergencies, integrating 3rd party APIs and social media tools, and working with outside vendors to ensure a stable and secure technical infrastructure.

Essential Functions

  • Work in team approach with Program Director, Senior Web Developer, Graphic Designer, and others (staff, consultants and vendors) to design, deve
  • lop, and maintain our online properties and custom applications
  • Collaborate with our design and content teams to build prototypes, respond to feedback, and iterate quickly, ensuring that all applications and server environment are secure, stable, and scalable
  • Work independently to tackle bugs, small edits, and feature implementation across all products and properties
  • Administer our servers and hosting environment
  • Perform routine maintenance and backup tasks
  • Respond to technical emergencies and site downtime
  • Troubleshoot, test, and analyze web development work and determine appropriate fixes/solutions
  • Compile documentation to ensure easy maintenance
  • Understand the necessity of, and contribute to, coding best practices and standards
  • Ability to develop technical and functional design requirements based on programmatic needs and communicate those requirements to non-technical staff
  • Keep abreast of, and research new technology and trends. Recommend innovative solutions and suggest opportunities to integrate them into our operations and activities

Minimum Qualifications

  • Able to learn new technology and tasks quickly and completely
  • Fluent in PHP (or another language such as Python, Ruby, etc), HTML, CSS, Javascript, any variant of SQL
  • A love of clean, elegant code
  • A minimum of two years experience developing robust web applications
  • Comfort using Unix command line-only tools
  • Comfort managing a remote Unix server via command line interface
  • Comfort with distributed version control systems (Git)
  • Experience with building themes and plugins for WordPress a plus
  • Experience with AngularJS a plus
  • Experience with Node.js a plus
  • Experience designing and implementing clean and efficient user interfaces a plus

Grassroots Organizing/Political Science Intern

Calling all passionate individuals ready to take on corruption in our government with our bold, new campaign. Represent.Us (a campaign of United Republic) needs dedicated, qualified interns to help move forward our campaign to stop the corrupting influence of money in politics. We are offering summer, fall and spring semester internship opportunities to talented undergraduate students who feel passionately about addressing the undue influence of money in U.S. politics. Opportunities are available in our Florence, MA office.

Our internship program will allow students to gain a hands-on understanding about the democracy reform movements taking place in our country. Working closely with the staff, interns will work on the many facets of an advocacy organization such as: organizing, research and lobbying. Depending on skill level and interest interns may take part in:

  • Grassroots organizing efforts
  • Volunteer recruitment and coaching
  • Marketing/branding, social media and external affairs coordination
  • Database tracking
  • Investigative research, helping to expose corruption in our political system
  • Website development and other collateral materials

Web Developer Intern

While undergraduate internships at Represent.Us are unpaid, we are committed to making sure the experience here is challenging, informative and educational. We are happy to work with colleges or universities so interns may earn credit for work done in our office.

Candidates will need to have a concrete knowledge of HTML and CSS, some experience with JavaScript, and ideally will have experience with other languages such as PHP, Python or something similar. Knowledge of SQL will also be very helpful. Additionally, candidates should be comfortable working independently as well as effectively working with a team.

This internship program will allow students to gain a deep understanding about the democracy reform movements taking place in our country.

Depending on skill level and interest interns may take part in:

  • Monitor and engage on Twitter, Facebook and other platforms
  • Post current on Twitter, Facebook and other platforms
  • Internet research to find existing blogs and content
  • Occasional research for blog posts
  • Follow and list appropriate people on Twitter
  • Communicate exciting news
  • Trace statistics and report weekly
  • Track key performance indicators
  • Make graphics/find them for use on social media

Qualifications:

  • Familiar with Twitter and Facebook
  • Passionate about Social Media
  • Friendly and conversational
  • GPA at least 3.0
  • Must be detail oriented, team player and technologically savvy
  • Must be comfortable with Microsoft Excel
  • Fast Learner

Benefits:

  • Estimated weekly hours are 10-20 hours per week, unless you have more time than that (schedule is flexible, but a minimum of ½ hour each day, to keep the communication constant)
  • Minimum 3-month commitment, but longer if you’d like
